Luggage Transport Service Policy

1. Service Description

Ultracycling Challenges offers an optional luggage transport service for participants' personal equipment between:

• Start location: Munich, Germany

• Finish location: Ayegui, Spain

This service is exclusively available to registered participants and must be reserved and paid for in advance through the Online Shop.

This is an event logistics support service provided exclusively to participants. It is not a commercial freight, courier or storage service.

2. Booking Deadline & Capacity

Bookings for the luggage transport service must be completed no later than 10 July.

Bookings received after this date cannot be guaranteed and may be refused.

Capacity is limited and allocated on a first-come, first-served basis. Once the available capacity has been reached, no additional items will be accepted.

3. Accepted Items, Sizes & Weight Limits

Only the following item categories are accepted.

• Only the item category booked through the Online Shop will be accepted.

• Items must be securely closed and suitable for transport.

• The organisation reserves the right to measure and weigh all items.

• The organisation reserves the right to refuse any item that cannot be safely handled by one person.

If an item exceeds the booked category, the participant must pay the applicable upgrade fee. Transport of the item cannot be guaranteed and remains subject to available vehicle capacity.

4. Drop-off & Identification

Drop-off must take place during the official drop-off window communicated by Ultracycling Challenges.

Items delivered outside the official drop-off window may only be accepted if operationally feasible. If accepted, a late handling fee of €10 per item will apply.

Each item must:

• Each bag must be clearly identified using the official luggage tag provided by the organisation in the rider bag.

• Each bike-box must have a clear identification of the rider's cap number, name, surname and telephone contact. 

Items without the relevant identification will be refused.

5. Collection at the Finish

Transported items will be available for collection in Ayegui during the official collection times communicated by the organisation.

Items must be collected personally by the participant or by a person previously authorised by the participant.

Items not collected within seven days after the official end of the event may be considered abandoned. The organisation reserves the right to dispose of unclaimed items without compensation.

6. Withdrawal or Non-Finish of the Challenge

If a participant withdraws from the challenge or does not reach the finish location:

• The participant may request shipment of the transported item.

• Shipment is available only to addresses within the European Union. Destinations outside the European Union, including the United Kingdom and Switzerland, are excluded.

• Shipment is offered solely at the organisation's discretion and depends on its operational capacity after the event.

• The organisation is under no obligation to provide this service.

• Full payment must be received before any shipment is arranged.

Should shipment be possible, the participant must pay all associated costs, including:

• Packaging materials

• Shipping costs

• Administrative handling costs

7. Prohibited Contents

For safety, legal and customs reasons, the following items must not be transported:

• Dangerous or hazardous goods

• Flammable, explosive or combustible materials

• Pressurised containers or gas cartridges

• Lithium batteries not installed in equipment

• Chemicals, fuels, oils, solvents or cleaning agents

• Firearms, weapons, ammunition or sharp objects

• Illegal substances or items prohibited under German, Spanish or EU law

• Perishable food or products requiring special handling

• Cash, jewellery, passports, travel documents, electronic devices or other valuables

Participants remain solely responsible for the contents of their luggage.

8. Inspection & Compliance

The organisation reserves the right to:

• Refuse any item suspected of containing prohibited or unsafe contents.

• Request that a participant opens their bag or bike box for inspection.

• Refuse transport if the item does not comply with these conditions.

Any fines, penalties, damages or consequences arising from prohibited contents remain the sole responsibility of the participant. 

9. Liability

Ultracycling Challenges will handle all accepted items with reasonable care.

However:

• Transport is undertaken entirely at the participant's own risk.

• No insurance coverage is included unless explicitly stated otherwise.

• The organisation accepts no liability for loss, theft, delay or damage occurring during handling, loading, transport or storage.

Participants are strongly advised not to transport fragile, valuable or irreplaceable items.

10. Legal Nature of the Service

This service is provided solely as logistical support for participants in Ultracycling Challenges.

Ultracycling Challenges is not a freight forwarder, courier service or commercial transport company.

Booking this service does not create any commercial transport contract beyond the scope of this event.

11. Final Provisions

The organisation reserves the right to modify operational procedures where necessary for safety, operational or logistical reasons.

By booking this service, the participant confirms that they have read, understood and accepted this Luggage Transport Service Policy.
